How to Manage Images in Skill Studio
This guide helps you upload, organize, and maintain your organization's image library in Skill Studio AI for use across training courses. Use it when preparing visual assets for onboarding, compliance training, or upskilling content.
Before You Start
A Skill Studio AI account with admin access to your organization's workspace.
Images prepared in supported formats: JPG, PNG, GIF, or WebP.
Knowledge of your courses' visual needs, like topics or branding themes.
Sufficient storage space in your workspace (check current usage first).
Consistent naming conventions for images, e.g., "2026-Onboarding-Logo.png".
Steps
Access the Image Library — Navigate to Settings → Images in your workspace to open the centralized library where all organization images are stored and managed.
Upload Single Images — Click the upload button, select your JPG, PNG, GIF, or WebP file, add a descriptive name, and save it directly to the library for immediate use in courses.
Perform Bulk Uploads — Select multiple images at once via the bulk upload option, confirm formats, and import them to quickly populate your library without individual processing.
Create Folders — Make new folders by topic, course, or team (e.g., "Onboarding" or "Compliance"), then drag images into them for structured organization.
Apply Tags — Add relevant tags like "logo", "safety", or "product" to each image or in bulk, enabling easy filtering and search across your library.
View Usage Stats — Check the usage column or dashboard to see which images appear in specific courses, helping identify frequently used assets.
Bulk Move or Delete — Select multiple images, choose move to a folder or delete unused ones to keep the library tidy and efficient.
Monitor Storage — Review the storage usage meter, identify large or unused files, and delete them to free up space for new uploads.
Optimize Images — Use built-in tools to compress images for web without quality loss, reducing file sizes for faster course loading.
Export Image Lists — Generate a report of your library inventory via export, including names, tags, and usage for audits or sharing.
Tips & Best Practices
Establish a naming convention like "YYYY-MM-DD_CourseName_Type" for quick identification and sorting.
Tag consistently across teams to enable AI-powered search and prevent duplicates.
Schedule monthly reviews to cull blurry or unused images, maintaining a lean library.
Use folders hierarchically: top-level by department, subfolders by course module.
Rate images with stars (5 for high-use, 1 for delete) during bulk operations for priority management.
Troubleshooting
Upload fails for certain formats
Convert files to JPG, PNG, GIF, or WebP using free tools like Photoshop or online converters; check file size limits in settings.
Images not searchable after tagging
Wait for indexing to complete (usually 1-2 minutes) or refresh the library; reapply tags if metadata sync issue persists.
Storage full despite deletions
Clear browser cache, check for hidden backups in courses, or contact support to purge cached versions.
Bulk operations timing out
Process smaller batches (under 50 images) and ensure stable internet; retry during off-peak hours.
