How to Send Invitations to Learners

This guide walks you through sending course invitations to learners in your organization, whether individually or in bulk. Use this when you need to enroll learners in specific courses or grant general organization-wide access.

Before You Start

  • Admin or course instructor access to your learning platform with invitation privileges enabled

  • Learner email addresses ready (individual emails or a CSV file for bulk invitations)

  • Access to course settings or the Customers page where invitations are sent

  • Automation settings configured if you plan to use automatic reminder emails

  • Understanding of whether you need single invitations, bulk invitations, course-specific, or organization-wide access

Steps

  1. Navigate to the invitation interface — Log into your platform and access either the course settings or the Customers page. Look for the "Invite Learners" button or link to begin the invitation process.

  2. Choose your invitation method — Decide whether you need to send a single invitation to one learner, a bulk invitation to multiple learners via CSV upload, a course-specific invitation to a particular course, or an organization-wide invitation for general access to your organization.

  3. Enter learner email addresses for single invitations — If inviting individually, enter the email address of each learner in the designated field. The system may provide autocomplete suggestions as you type.

  4. Upload a CSV file for bulk invitations — If sending multiple invitations at once, prepare a CSV file containing a list of learner email addresses and upload it through the bulk invite option. Ensure your file follows the required format specified by your platform.

  5. Specify course assignment if needed — If sending course-specific invitations, select the course or courses you want to assign to the invited learners. For organization-wide invitations, skip this step as learners will receive general access.

  6. Send the invitations — Review your recipient list and course selections, then click the send or invite button to dispatch invitations to all selected learners.

  7. Monitor invitation status — After sending, track the status of your invitations on the Team or Customers page. Invitations will display as pending until learners accept them, and you can monitor acceptance rates and expiration dates.

  8. Configure reminder emails if desired — Navigate to your Automation settings and enable automatic reminder emails for pending invitations. Customize the frequency at which reminders are sent to learners who have not yet accepted.

  9. Confirm learner enrollment — Once learners accept invitations and create their accounts, they receive a welcome email containing links to their enrolled courses. Verify that learners can access course materials from these links.

  • Use bulk CSV invitations when onboarding large groups of learners to save time and reduce manual data entry errors.

  • Set up automatic reminder emails in your Automation settings to increase acceptance rates without requiring manual follow-up.

  • For organization-wide invitations, consider sending them during onboarding periods or at the start of new compliance training cycles to maximize engagement.

  • Keep your CSV file organized with clear headers and consistent email formatting to ensure smooth bulk uploads.

  • Regularly check the invitation status page to identify which learners have not yet accepted and may need additional outreach.

Troubleshooting

Invitation button is grayed out or missing

Verify that you have admin or instructor permissions for the course or organization. If you do not see the option, contact your platform administrator to enable invitation privileges for your account.

Learner email addresses are rejected during invitation

Check that email addresses are correctly formatted and spelled. Some platforms only accept emails within trusted domains; if a learner's email is outside your organization's domain, your administrator may need to approve external domain access first.

CSV bulk upload fails or shows formatting errors

Ensure your CSV file uses the correct delimiter (usually comma), includes proper column headers, and contains only email addresses in the expected format. Download a template from your platform if available to match the required structure exactly.

Learners report not receiving invitation emails

Ask learners to check their spam or junk folder, as invitation emails may be filtered. Verify the email addresses in your system are correct, and consider resending the invitation or manually providing learners with a course enrollment link if available.

Invitation shows as pending long after sending

Pending status persists until learners actively accept the invitation. Send an automatic reminder email through your Automation settings, or reach out to learners directly to encourage them to check their email and accept the invitation.
