How to Add Team Members

This guide shows you how to invite instructors, admins, and viewers to your Skill Studio AI organization. Use it when scaling training teams or onboarding new compliance and L&D contributors.

Before You Start

  • Admin access to your Skill Studio AI organization with full permissions for team management.

  • List of team members' first names, last names, company names, and email addresses.

  • Decide each member's role: Admin, Instructor, or Viewer based on their responsibilities.

  • Available UserPlus seats in your plan (check Settings → Billing).

  • Branded email templates configured in organization settings for professional invitations.

Steps

  1. Navigate to Team settings — Log into Skill Studio AI, go to Settings → Team to view your current organization members and access the Add Team Member button.

  2. Click Add Team Member — Select the "Add Team Member" button to open the invitation form for entering new member details.

  3. Enter member details — Input the first name, last name, company name, and email address of the person you're inviting.

  4. Select the role — Choose from Admin (full access including billing and team management), Instructor (create/edit courses and view analytics), or Viewer (read-only access to courses and analytics).

  5. Send the invitation — Review details and click Send; the system generates a branded email with a secure link that the recipient uses to join.

  6. Verify invitation status — Return to Settings → Team to monitor pending invitations and confirm when the new member accepts and activates their account.

Tips & Best Practices

  • Assign **Instructor** roles to L&D team members for course creation while reserving **Admin** for compliance leads who need billing oversight.

  • Include role expectations in a welcome email template to set clear boundaries on **Viewer** read-only access.

  • Invite in small batches (5-10 at a time) to manage onboarding and avoid overwhelming your UserPlus seat limits.

  • Use company names to differentiate external consultants from internal trainers in multi-tenant organizations.

Troubleshooting

Invitation email not received

Check spam/junk folders; resend from Settings → Team or verify email domain restrictions in your organization's security settings.

Role dropdown unavailable

Ensure you have Admin permissions; contact support if you're a UserPlus owner but can't access team management.

No available seats error

Upgrade your plan via Settings → Billing or remove inactive members before adding new ones.

New member can't access courses

Confirm they accepted the invite and selected the correct role; edit their role manually from the Team list if needed.
