How to Publish & Unpublish Courses

This guide shows how to publish Skill Studio AI courses to make them available to learners and unpublish them for updates while preserving progress. Use it when courses are ready for access or need temporary hiding.

Before You Start

  • A Skill Studio AI account with admin or editor access to courses.

  • An existing course created from PDFs, PowerPoints, SOPs, or policies.

  • Course content fully built with avatars, quizzes, and interactive elements.

  • Defined visibility settings: Private, Shared, or Public.

  • Enrollment rules configured for auto or manual access.

Steps

  1. Open the course editor — Navigate to your Skill Studio AI dashboard, select Courses, and click the draft course to enter the full editor view.

  2. Review course status — Check the top toolbar or sidebar for the Active toggle or Publish button; new courses start as inactive drafts hidden from learners.

  3. Configure visibility options — Set course to Private (enrolled learners only), Shared (link access), or Public (discoverable); adjust enrollment rules for auto or manual.

  4. Publish the course — Click Publish or toggle Active on; the course becomes available immediately to selected learners with real-time analytics tracking.

  5. Verify publication — Preview as learner via Student View, confirm quizzes and avatar videos load, and check dashboard for active status and enrollment.

  6. Unpublish for updates — Return to editor, click Unpublish or toggle Active off; hides course from learners while preserving all progress and data.

  7. Make edits safely — Update content, avatars, or quizzes; version control saves changes automatically without impacting prior learner data.

  8. Republish when ready — Toggle Active back on or click Publish; course resumes availability with updates live for learners.

Tips & Best Practices

  • Publish only after testing all interactive elements like quizzes and scenarios in preview mode.

  • Use unpublishing for major updates to avoid learner confusion; notify teams via announcements.

  • For multi-language courses, set visibility per language to control global rollout.

  • Monitor real-time analytics post-publish to track completion and adjust enrollment rules.

  • Export to SCORM before publishing if integrating with external LMS for compliance.

Troubleshooting

Course not visible after publishing

Check enrollment rules and visibility settings; ensure learners are added manually or auto-enrolled.

Can't unpublish active course

Verify no ongoing sessions block it; contact support if progress data interferes.

Learner progress lost after republish

Progress is always preserved; refresh learner dashboard or check analytics export.

Publish button grayed out

Complete all required fields like avatar narration and quizzes; save draft first.
