How to Manage Your Profile

Overview

This guide explains how to update your Skill Studio AI account — your display name, profile photo, password, notification preferences, and linked credentials. Use it whenever you need to personalise your workspace or adjust how the platform communicates with you.


Before you start

Make sure you have:

  • An active Skill Studio AI account and your login credentials

  • Access to the email address linked to your account

  • A profile photo ready if you plan to update it (recommended: 400 × 400 px, JPG or PNG)

  • Your current password if you are changing security settings


Note: Some fields — such as your display name or email address — may be restricted depending on your role. If you cannot edit a field, contact your Admin.


Accessing profile settings

Click your avatar in the left-hand sidebar and select Profile from the menu. This opens your profile settings page, where all sections below are available.


Updating your profile information

Display name and email

Enter your preferred display name and email address in the Profile Information section. Your display name appears on course pages and in team lists throughout the platform.

Click Save changes when you are done. Updates appear across the platform within a few minutes. If they have not applied after 10 minutes, log out and back in.


Profile photo

Click the image icon on your current avatar to open the upload prompt. Select a JPG or PNG file — ideally square, at least 400 × 400 pixels. The image is cropped automatically. Click Save changes to apply.


Tip: Use a professional, well-lit photo or your brand logo. A consistent image helps colleagues and learners recognise you across courses and team views.


Changing your password

Go to the Password & Security section. Enter your current password, then set and confirm a new one. Your new password must be at least 8 characters and include a mix of letters, numbers, and symbols.

Click Update password to save. You will remain logged in on your current device.


Security tip: Change your password immediately if you suspect your account has been accessed without your knowledge. Enable 2FA after any password change for extra protection.


Two-factor authentication (2FA)

Two-factor authentication adds a second verification step at login. To enable it:

  1. Open the Security tab within Profile settings.

  2. Toggle on Two-factor authentication.

  3. Follow the on-screen prompts to link an authenticator app (such as Google Authenticator or Authy) or a phone number.

  4. Save your backup recovery codes in a secure location — you will need these if you lose access to your authenticator.


Important: Store your recovery codes securely before completing setup. If you lose access to your authenticator and do not have recovery codes, you will need to contact support to regain entry to your account.


Reviewing login activity

The Login history section in your profile shows recent sign-ins, including device type, browser, and approximate location. Review this periodically to confirm all sessions are yours.

If you see a session you do not recognise, click Log out of this session next to it, then change your password immediately and enable 2FA if not already active.


Notification preferences

Go to Notification Preferences to control which email alerts you receive. Toggles are grouped by category:

Toggle each category on or off individually. Click Save preferences when done. Changes take effect immediately.


Tip: Keep compliance alerts on even if you silence other categories. These notifications carry regulatory significance and missing them could affect audit readiness.


What's new: smarter AI course generation

Skill Studio AI has significantly updated how it builds courses. This is the most substantial change to the course generation engine to date and affects every course generated going forward.


Deeper topic understanding

Before structuring a course, the AI now analyses your topic in depth. It identifies the misconceptions learners typically bring into the subject, the vocabulary that needs precise definition rather than assumed familiarity, and the knowledge gaps that are hardest to bridge. The result is a course built around how people actually learn your topic — not just a list of subtopics derived from a search result.


Every screen has a purpose

Each slide in a generated course is now designed with a specific learning intent. The AI asks what the learner needs to be able to do differently after this screen — whether that means challenging an assumption, clarifying something commonly confused, demonstrating a concept in a real context, or testing whether a key idea has landed. Padding and restatement slides are eliminated.


Richer content formats

The AI now selects the right format for each piece of content rather than defaulting to a text slide. Comparisons appear as side-by-side tables. Sequential processes become flow diagrams. Taxonomies and hierarchies are shown as tree structures. You get more varied, more readable courses automatically — with no extra configuration required.


Note: These improvements are live now. Every course you generate from today will reflect the updated engine. The difference is most noticeable on complex, technical, or compliance-heavy topics where generic AI output has historically been weakest.


Troubleshooting

Issue

Changes not appearing across the platform

Wait up to 10 minutes for sync to complete, then log out and back in. If the issue persists beyond 30 minutes, contact support.

Cannot edit name or email

These fields may be restricted to Admin role. Ask your Admin to update the details, or request a role change if appropriate.

2FA setup fails

Check that the time on your device is correctly synced (2FA is time-sensitive). Try a different authenticator app. If you are locked out, use your recovery codes or contact support.

Password reset email not arriving

Check your spam folder. Confirm the email address you entered matches your account. If the issue persists, contact support — email delivery is subject to your notification preferences.

Notification preferences not saving

Ensure you click Save preferences before navigating away. If the page reloads without saving, try refreshing and updating preferences again.
