How to Configure AI Knowledge Base

This guide shows you how to set up your organization's AI Knowledge Base in Skill Studio AI to train the AI with company-specific context. Use it when you need to improve AI response accuracy by adding documents, websites, and custom rules via Settings → Knowledge Base.

Before You Start

  • A Skill Studio AI account with admin access to Settings.

  • Company documents ready as PDFs, PowerPoints, or SOPs (under 50MB each).

  • URLs of relevant company websites, wikis, or documentation sites.

  • Specific guidelines or instructions for AI behavior (e.g., tone preferences).

  • Backup of existing knowledge base data if previously configured.

Steps

  1. Access Knowledge Base settings — Log in to Skill Studio AI, navigate to Settings in the main menu, and select Knowledge Base to open the configuration dashboard.

  2. Configure AI Behavior — In the AI Behavior tab, set the personality and tone (e.g., formal, friendly) to match your brand voice, then save changes to guide all AI interactions.

  3. Upload Reference Files — Go to the Reference Files tab, click Upload, select your PDFs, documents, or guides, and confirm processing; files are automatically indexed for AI retrieval.

  4. Add External Sources — Switch to the External Sources tab, enter URLs for your company website, wiki, or docs sites, enable crawling if available, and verify connections for real-time referencing.

  5. Enter Custom Instructions — In the Custom Instructions tab, write specific rules like "Always refer to our product as 'Skill Studio AI'" or "Use formal language only," then test with a sample query.

  6. Test and validate setup — Use the built-in test panel to input queries, review AI responses for accuracy against your sources, and adjust as needed before going live.

  7. Save and activate — Review all tabs for completeness, click Save Configuration, and activate the knowledge base to apply it across your training courses and AI generations.

Tips & Best Practices

  • Prioritize high-quality, up-to-date files to avoid outdated AI responses; audit documents quarterly.

  • Limit initial uploads to 10-20 key files to speed up indexing and testing.

  • Use clear, structured instructions like "Prioritize compliance policies for regulated queries" for precise AI behavior.

  • Monitor analytics post-setup to identify gaps and refine sources based on real usage.

Troubleshooting

Files fail to upload or index

Check file size (max 50MB), format (PDF/PPT), and internet connection; re-upload after clearing browser cache.

AI ignores custom instructions

Ensure instructions are concise (under 500 characters) and specific; test with varied queries and edit iteratively.

External sources not referenced

Verify URLs are public or accessible, disable robots.txt blocks if needed, and wait 5-10 minutes for crawling.

Slow response times after setup

Reduce file count initially or split large docs; contact support if indexing exceeds 30 minutes.
